& Cancellation Policy
Please read these terms carefully before submitting your booking request. By completing your inquiry you agree to the policies below.
At Petal & Pour ATL, we put enormous care into every setup — and we want your experience to be beautiful, stress-free, and clearly understood from the start. These terms exist to protect both parties and ensure we can keep delivering the quality our clients love. Weather & Rescheduling Policy
Petal & Pour reserves the right to make the final safety call regarding weather-related cancellations. The safety of our clients, our team, and our equipment is the priority. We do not offer refunds due to inclement weather, including rain, wind exceeding 15mph, or extreme heat or cold.
Our commitment to you: We monitor forecasts closely and will proactively reach out if conditions look unfavorable. We never want you to show up to an unsafe or uncomfortable experience.
- The 48-Hour Rule If the forecast predicts a 50% or higher chance of rain 48 hours before your scheduled event, the client may choose one of two options: (1) Move the picnic to an indoor or covered private location provided by the client, or (2) Reschedule to a new available date within 90 days of the original booking, subject to availability. This option must be exercised before the 48-hour window closes.
- Mid-Picnic Rain Once the picnic has been fully set up and the client has arrived on-site, no credits, refunds, or reschedules will be issued if weather conditions change during the event. This includes unexpected rain showers, wind, or temperature changes that occur after arrival.
- Heat Clause — Summer Bookings During summer months (June through August), we strongly recommend scheduling your picnic before 11:00 AM or after 6:00 PM for the comfort of your guests and the safety of any food items. Petal & Pour is not liable for food quality or guest discomfort resulting from bookings during peak midday heat.
Damage, Liability & "The Walk-Away"
All equipment, furnishings, linens, and decor provided by Petal & Pour are our property and are provided on a rental basis only. Clients are responsible for the condition of all items during the duration of their event.
- Damage & Cleaning Fee Minor wear is expected — small water spills and light crumbs are part of normal use and will not be charged. However, any items requiring professional cleaning for significant stains (including but not limited to: red wine, grease, mud, or food dye) or any items that are broken, torn, or otherwise damaged will be invoiced to the client at the full replacement cost or professional cleaning cost, whichever applies. Petal & Pour will provide documentation of the damage and associated costs.
- The "Never Leave" Rule Clients must not leave the picnic equipment unattended at any time during the event. If you wish to leave your picnic early for any reason — including emergencies — you must text or call your Petal & Pour coordinator and remain on-site until a team member arrives to take custody of the equipment. The client is financially responsible for any equipment stolen or damaged as a direct result of being left unattended, regardless of the circumstances.
- Food Safety & Third-Party Vendors Petal & Pour operates exclusively as a luxury styling and coordination company. While we may partner with or recommend licensed food and beverage vendors, we are not responsible for the preparation, handling, allergen labeling, or safety of any food or drinks provided by third parties. Clients and their guests consume any third-party food and beverages entirely at their own risk. Petal & Pour is not liable for allergic reactions, food-borne illness, or any adverse health events related to food or beverage consumption during the event.
Booking & Cancellation Terms
- Non-Refundable Retainer A 50% non-refundable retainer of the total booking cost is required to officially secure your date. This retainer compensates Petal & Pour for the time, planning, and date reservation dedicated to your event. The retainer is non-refundable under all circumstances, including personal emergencies, changes of plans, or client-initiated cancellations. The remaining 50% balance is due in full no later than 7 days before the event date. Failure to remit the final balance by this deadline may result in cancellation of your booking without refund of the initial retainer.
- Late Arrival Policy Your picnic experience begins at the scheduled start time regardless of client arrival. Petal & Pour operates multiple setups daily and is unable to extend event times for late arrivals under any circumstances. If you are 30 or more minutes late, your event will proceed as normal and will still conclude at the originally scheduled teardown time. No partial refunds or credits will be issued for time lost due to late arrival.
Need to reschedule? Life happens. If your circumstances change, please contact us as early as possible. While your retainer is non-refundable, we will do our best to work with you on rescheduling to a new date within 90 days, subject to availability and at our discretion.
